Gifts and Donations

Fund-Raising and Monetary Gifts:
In the past the library has benefited from fund-raising campaigns to enhance its collection and service. For that reason, it is to our advantage to co-operate fully with the Alumnae and Development Office in any endeavors intended to improve the library. Noteworthy past efforts were the Stock Our Stacks campaign which solicited monetary gifts to purchase books, and more recently, the Learning and Leading Campaign which raised funds to support many sectors of the University, including the library.
A letter of intent from the donor should be directed to the Development Manager to ensure a formal acknowledgement by the University. A gift may be made to honour the memory of an alumna or relative of an alumna, a retired or deceased staff member, to recognize a graduating class or a milestone in the life of the University or an individual. Ongoing commitments such as the purchase of a serial subscription are also welcome.
While encouraging suggestions from prospective donors, the library may refuse a gift if the donor has applied undue restrictions on the use of funds, such as the requirement for special shelving or the creation of a special section in the library.
All print or electronic resources must conform to criteria established in the Collections Policy Manual for the selection of monographs and serials. The Collections & Archives Librarian, after seeking advice from appropriate faculty, is responsible for selecting monographs or recommending serial subscriptions to be purchased using monetary gifts. All monographs purchased with donated funds will acknowledge the donor and the circumstances of the donation on a plate affixed to the book. Any equipment purchased with donated funds will be identified by a plaque or similar notice.
For tax purposes, an acknowledgement of the value of the gift will be sent to the donor by the Alumnae and Development Office. The Collections & Archives Librarian or delegate will supply details of any purchase using donated funds to the appropriate officer of the University.
Donations of Materials:
Although the library welcomes donations of materials which fall within selection policy criteria, donors should be advised that the processing of donated materials is labour intensive. Given the dedication of staff to the processing of newly acquired monographs and serial issues, delays occur in the processing of donated items unless the donor or the collections development librarian requests immediate cataloguing.
Among the materials most desired by the library are:
monographs with an academic content which are unique to the Novanet database, and which serve to enhance the instructional and research capacity of our collection
monographs which replace damaged, missing, or long-term overdue items
journal issues which contribute to the completion of holdings of serials already held in the collection
more recent editions of works already present in the collection
out of print monographs which are classic or core works in a subject area collected by the library
No matter the content, any badly soiled, water-damaged, musty, or mildewed book will be discarded. The library reserves the right to dispose of any donated item as it sees fit. Donated books not needed for the collection may be sold to raise funds for the library or the University, donated to another library or organization, or discarded.
Only those items retained for the library’s collection will be included in an evaluation for tax purposes.
Note: The Alumnae and Development Office requires a list with author, title, and publishing data for all books which have been evaluated for income tax purposes before a receipt can be issued to the donor.
The collections development librarian routinely reviews the lists of discards from other libraries to identify items which may be of value to our collection. Materials obtained by this means are then given to the cataloguing department for immediate processing.
